Dear INSAP V presenters,
We are delighted to announce that we will be publishing
the INSAP V proceedings through the Astronomical Society of the Pacific (ASP).
With extensive experience publishing such volumes, ASP will distribute it
through their existing channels, allowing us to reach even wider audiences than
in the past. The ASP now posts all published
proceedings to their E-book site: <http://aspbooks.org>.
You are welcome to check out the site, where there are several volumes
available free to review without having to purchase that volume.
We invite you to submit your INSAP V presentation for inclusion in the conference proceedings volume, which will be edited by Jim Kaler and me, with the assistance and input of members of the INSAP executive committee, the local organizing committee, and other referees, as needed.
I remind you that as an INSAP presenter and contributor, you will receive a free copy of the printed INSAP V volume. Anyone else purchasing a copy of it will also receive E-book access to it, as will all libraries with a standing order to the ASP publications. The E-book has all images in color as they are submitted to the ASP. Therefore, having the volume on the E-book site might deal with any concerns about color images being available.
You should be aware that although the ASP will hold copyright on the article you submit, they do not restrict you from publishing a later or expanded version of it. They prefer to encourage authors to get the news out about research rather than have to wait years for a final version. Of course, we will ensure that articles included are of scholarly value, but the ASPÕs willingness to work with authors makes this publishing choice a particularly attractive one. I quote from a recent email:
¯ Question: What are the rights of the individual contributors? Do they retain rights to their own work, and must they sign off on a copyright statement?
¯ Answer: In theory we have all rights to everything authors submit to us. So we could prevent a paper, or parts of a paper, published by us from being published anywhere else. In practice we have never embargoed anyone's work and never will. We always grant permission for authors to reproduce parts of their work elsewhere. We want the ASP to always be known as the good guy who does everything possible to get people's work disseminated as widely as possible.
Further details:
1) Articles should be submitted in Microsoft WORD, and be about 1500 - 2000 words for most presentations, 3000-4000 words for keynotes. Shorter submissions are fine.
2) Please name the file Òlastname.firstinitial.docÓso that we can keep track of files. So calling Jim KalerÕs keynote ÒKaler.J.docÓ will avoid any other paper being confused with it.
3) We will follow the Chicago Manual of Style, 15th ed., using endnotes (not footnotes).
4) Images:
a. Please include up to 4 images per article, 8 for keynotes. Resolution: at least 200 ppi (pixels per inch), and preferably 300 ppi. Illustrations are intended to illustrate the text, not to yield an art book.
b. Format: Postscript (.ps), encapsulated Postscript (.eps), TIFF (.tiff) or bitmap (.bmp).
c. Images will appear in black and white in the printed volume but in color in the electronic (E-Book) version. You will be able to see the proofs prior to publication.
d. Please use the following way to name your images: Òauthor.firstinitial.image.1.tiffÓ or whatever ending suffix is needed. So Jim KalerÕs first image would be ÒKaler.J.image.1.tiffÓ.
e. Permission must be secured (or proven) by the authors, and included with submission of images. Please submit permissions to me electronically (preferred) or in print (at address below).
f. Designate where in the text the image goes. Use something like the following indicator: Ò[Òauthor.firstinitial.image.1.tiffÓgoes here.]Ó Example: Ò[Kaler.J.image.1.tiff goes hereÓ] Captions should be placed nearby [Caption image 1: ÒHubbleÕs decision to use these soap bubbles in his 1949 lecture gave him new insights into the Big Bang.Ó] Please follow this convention, as this will avoid confusing your images with anyone elseÕs. If you wish, you can also embed the image in the paper, which avoids many hassles, but the image should in any case be submitted separately as well.
g. For obscure images not included in your paper but important to it, it would be valuable to provide sufficient information that would allow an interested reader to find it easily with the usual Internet search techniques.

6) Due date for submission: March 31, 2006.
7) Please send a separate email to confirm current email address, phone, and mailing address to where the volume should be sent. PO Box numbers cannot be used, only street addresses. Please send this information to me at mbolt@adlerplanetarium.org with the subject header ÒINSAP contact detailsÓ in the following form (without the categories), so we can use this information to send the volume directly to you.
